Invoice Template Canada — with GST, HST & QST built in
A free Canadian invoice generator that gets the tax right: pick your province, and the correct GST, HST, PST or QST lines appear automatically — in CAD, in English or French, with the CRA's required fields in place.
CRA invoice requirements — the current rules
The Canada Revenue Agency sets out what a sales invoice must show for your customer to claim input tax credits, and the thresholds changed in April 2021 — many template sites still quote the old $30/$150 tiers. The current tiers are $100 and $500:
| Total sale | Your invoice must show |
|---|---|
| Under $100 | Your business name, the invoice date, and the total amount |
| $100 – $499.99 | All of the above, plus your GST/HST registration number and the tax amount charged (or a statement that tax is included, with the rate) |
| $500 or more | All of the above, plus the buyer's name, your payment terms, and a description sufficient to identify each item |
The generator above includes every one of those fields — business and client blocks, tax registration number, dated and numbered automatically, itemized lines, and terms.
Sales tax rates by province
| Province / Territory | Tax on your invoice |
|---|---|
| Alberta | GST 5% |
| British Columbia | GST 5% + PST 7% |
| Manitoba | GST 5% + RST 7% |
| New Brunswick | HST 15% |
| Newfoundland and Labrador | HST 15% |
| Nova Scotia | HST 14% |
| Northwest Territories | GST 5% |
| Nunavut | GST 5% |
| Ontario | HST 13% |
| Prince Edward Island | HST 15% |
| Quebec | GST 5% + QST 9.975% |
| Saskatchewan | GST 5% + PST 6% |
| Yukon | GST 5% |
Select your province in the generator's Tax field and these rates apply automatically, each tax on its own line. Quebec invoices calculate QST at 9.975% on the pre-tax amount — the way Revenu Québec requires — not on the GST-included total.
Invoicing in French for Quebec
Switch the generator to FR and your invoice becomes a proper facture — Facturer à, Sous-total, TPS/TVQ lines, Total à payer. Quebec clients expect it, and for businesses operating in Quebec, invoicing in French is required under the province's language law. The same template styles from the template gallery apply in both languages.
Getting paid the Canadian way
Most small Canadian businesses are paid by Interac e-Transfer — put your e-transfer email in the terms so clients don't have to ask. For deposits and staged jobs, send an estimate first with your deposit terms, convert it to an invoice on approval, and issue a receipt when the transfer lands — especially for cash and rent payments where the receipt is the only record.
Frequently asked questions
What has to be on an invoice in Canada?
CRA requirements scale with the sale amount. Under $100: your business name, the invoice date, and the total. From $100 to $499.99, add your GST/HST registration number and the tax amount or a tax-included statement. At $500 or more, also add the buyer's name, the payment terms, and a description sufficient to identify each item. This generator includes all of these fields.
Do I need to charge GST/HST on my invoices?
You must register and charge GST/HST once your worldwide taxable revenues exceed $30,000 over four consecutive calendar quarters (the small-supplier threshold). Below that, registration is optional — but once registered, you must charge the tax and show your registration number on invoices.
Which tax rate does my province use?
HST provinces charge one combined rate: Ontario 13%, and New Brunswick, Newfoundland and Labrador, and PEI 15%, with Nova Scotia at 14%. Alberta and the territories charge 5% GST only. BC, Saskatchewan, and Manitoba add PST or RST on top of GST, and Quebec adds 9.975% QST. Pick your province in the generator and the correct lines are applied automatically.
How does QST work on a Quebec invoice?
Quebec invoices show GST 5% and QST 9.975% as separate lines, both calculated on the pre-tax amount, and carry both your GST and QST registration numbers. Switch the generator to Quebec and to French for a proper facture with TPS/TVQ lines.
Can I invoice in French?
Yes — switch the language to FR and the document becomes a facture with French labels throughout: Facturer à, Sous-total, Total à payer. For Quebec clients this is expected, and for Quebec businesses French invoicing is a legal requirement under Bill 96.
Should my Canadian invoice be in CAD?
Yes for domestic clients — this generator defaults to CAD with proper Canadian formatting. For US clients, switch to USD with one tap; note the currency clearly so there is no confusion about which dollar you mean.
How do I show an e-transfer as the payment method?
Interac e-Transfer is the most common way small Canadian businesses get paid. Put your e-transfer email address and any autodeposit note in the terms — for example, “Payment by e-transfer to pay@yourbusiness.ca — autodeposit enabled.”
Is this Canadian invoice template really free?
Yes — unlimited invoices, no signup, no watermark, and the PDF is generated on your own device. Provincial tax logic, bilingual output, and automatic numbering are all included free.
